Executive Assistant
A family owned real estate organization is seeking a dependable and highly adaptable Executive Assistant to work directly with the CEO. This role exists to offload day-to-day tasks and operational responsibilities so the President/CEO can focus on other tasks.
Responsibilities:
Executive & Administrative Support
- Act as a trusted gatekeeper, prioritizing communications and tasks
- Prepare documents, reports, and presentations as needed
- Coordinate meetings, follow-ups, and deadlines
Accounting & Financial Support
- Assist with accounts payable and accounts receivable
- Process invoices, vendor payments, and reimbursements
- Track rent rolls, expenses, and basic financial reporting
- Work with external accountants/bookkeepers on reconciliations and reporting
- Maintain accurate financial and operational records
Office & Business Operations
- Support day-to-day office operations and process improvement
- Manage vendor relationships and service contracts
- Assist with special projects and ad hoc requests as needed
Qualifications:
- 5+ years of experience as an Executive Assistant or similar role within real estate
- Experience with basic accounting functions (AP/AR, invoicing, expense tracking)
- Strong organizational skills and exceptional attention to detail
- High level of discretion, professionalism, and sound judgment
- Ability to manage multiple priorities in a fast-paced environment
